Minecraft server staff: how to hire, and how to get hired

A good Minecraft server staff application asks how someone would handle real situations, not just their age and timezone, and it leads to a short trial with limited permissions instead of instant power.

For server ownersUpdated 6 min read

Quick answer
  • Start new staff as Helpers with chat tools only, on a 2-4 week trial, and promote by track.
  • Ask scenario questions ("a friend of yours is x-raying, what do you do?") and weigh them above age and playtime.
  • Staff should never pay to apply, and no server needs your account password. Post openings on our Discord hiring board.

A Minecraft server staff application is the form a server uses to pick moderators and helpers, and the best ones test judgment with real scenarios ("two players are arguing in chat and one starts slurring, what do you do?") rather than asking how many hours someone has played. This guide is written for both sides of that form. Owners get the roles, the questions, a scoring method and a trial process. Players who want to join a team get a clear picture of what owners actually look for.

Minecraft server staff roles and ranks

Staff ranks are just permission groups with names. What matters is that each step up adds power only after trust is earned. Here's a ladder that works for most survival and minigame servers, with what each rank should be able to do:

RankJobGive themDon't give them
Helper (trial)Answer questions, watch chat, report problemsMute, warn, /co i to inspect blocksBans, teleport, vanish, inventory access
ModeratorEnforce rules, handle reportsTemp bans, kick, vanish, teleport, CoreProtect lookup and rollbackPermanent bans without review, gamemode, give
Senior modReview appeals, train helpersPermanent bans, ban history, appeal decisionsServer config, plugins, console
AdminRuns staff, handles escalationsMost commands, LuckPerms for lower ranksStore, payments, host panel (owner only)
BuilderBuilds spawns, maps, event areasWorldEdit in a build worldModeration tools
DeveloperConfigs, plugins, scriptsA test server and its consoleThe live console, until trusted

Keep builders and developers off the moderation ladder. Good builders aren't automatically good at calming down a 14-year-old who just lost their base, and they shouldn't have to be.

Setting the ranks up in LuckPerms

A track lets you promote with one command. From the console:

  1. Create the groups. lp creategroup helper, lp creategroup mod, lp creategroup srmod.
  2. Chain them. lp group mod parent add helper and lp group srmod parent add mod, so each rank inherits the one below.
  3. Build the track. lp createtrack staff, then lp track staff append helper, append mod, append srmod in order.
  4. Promote and demote. lp user Alex promote staff moves Alex up one step. demote moves them down.
  5. Audit. /lp log userhistory Alex shows every permission change made to that player.

The LuckPerms command reference has every option. Our plugin guide covers the staff plugins themselves: CoreProtect for rollbacks, EssentialsX for mutes and vanish, and an anti-cheat that sends alerts to staff.

The staff application template

Keep it to 12-15 questions. Longer forms don't find better staff; they just filter for people with free time. Use a form tool or a Discord ticket bot, and group the questions like this.

Basics (quick filters)

  • Minecraft username and Discord username.
  • Age range (under 13, 13-15, 16-17, 18+). A range is enough; don't collect birthdays.
  • Timezone and the hours you're usually online.
  • How long have you played here, and have you been punished on this server? (You can check, so this is an honesty test.)

Experience

  • Have you been staff anywhere before? What did you do, and why did you leave?
  • Which of our rules do you think is most often broken, and why?

Scenarios (the ones that matter)

  • A player says someone griefed their house an hour ago. Walk us through what you do, step by step.
  • Your close friend on the server is using x-ray. What do you do?
  • A player is spamming chat, and when you mute them they DM you insults. What next?
  • Two players are arguing, and one says the other is harassing them outside the game. How do you handle it?
  • A higher-ranked staff member bans someone and you think it was wrong. What do you do?
  • A player asks you for free items because "the owner said it's fine." How do you respond?

Motivation

  • Why do you want to be staff here, in two or three sentences?
  • What would you change about the server?

How to score applications fairly

Read applications with a simple rubric so the loudest friend of the admin team doesn't win by default. Score each scenario answer 0-2:

0: Power-first

Jumps straight to a ban, or ignores the rule. "I'd ban them."

1: Correct, thin

Right outcome, no process. "I'd check CoreProtect and roll it back."

2: Calm and complete

Gathers evidence, follows the rules, tells the player what happened, escalates when needed.

Then look at the answers you can check: their punishment history, whether their stated playtime matches what you see, and whether they've been helpful in chat. Have two staff members score each application separately, then compare.

Trial periods: power grows with trust

Nobody should go from player to moderator in a day. A trial protects the server, and it protects new staff from being handed tools they haven't learned.

  1. Short interview. A 15-minute voice or text chat. Ask one new scenario and let them explain their thinking.
  2. Temporary Helper rank. lp user Alex parent addtemp helper 21d gives the rank for three weeks, and it removes itself if you forget.
  3. A mentor. Pair every trial helper with one moderator who reviews their mutes and warnings in a private staff channel.
  4. Written guidance. A one-page staff handbook: the punishment ladder, how to log evidence, when to escalate. Our server rules guide has a ladder you can adapt.
  5. Decision at the end. Promote, extend the trial, or thank them and remove the rank. Tell them which, and why.

Staff for kids-friendly servers

If your server targets younger players, staffing carries more weight. We can't tell you a server is safe, but these are the habits parents look for, and they're worth building in from the start:

  • Adult (18+) staff only for anyone who can read private messages or handle reports.
  • No private DMs between staff and young players. Handle issues in public channels or tickets that other staff can see.
  • Log every punishment with evidence, so any decision can be reviewed.
  • A clear way for parents to reach the owner, by email, not only through Discord.
  • Remember Discord's own terms: in the US, users must be at least 13.

Warning signs: pay-to-apply and other scams

  • "Pay to apply" or "buy a staff rank". Staff positions should never be for sale. A server that charges applicants is selling power over other players.
  • Asking for your account password. No server needs your Microsoft account login. Nobody from a server team should ask.
  • "Download our staff client." Staff use the normal game plus server-side tools. A special launcher is a malware red flag.
  • Payment in promised future ranks or shares. If a server wants you to work like an employee, it should treat you like one.
  • Staff doing store refunds or payments. Money should stay with the owner.

Applying: what owners look for

If you're a player searching for Minecraft servers looking for staff, here's the honest version of what gets you picked:

  • Time on the server first. Apply where you already play. Owners trust people they've seen helping in chat for weeks.
  • A clean record. A punishment from two years ago isn't a dealbreaker if you say so; hiding it is.
  • Real scenario answers. Describe steps: check logs, gather screenshots, follow the rules, tell a senior. Show that you'd stay calm.
  • Honest availability. "Weeknights 7-10 pm Eastern" beats "I'm always online."
  • Good writing. Full sentences, checked once. Your application is your first moderation message.

Rejected? Ask what to improve, keep playing, and apply again next round. Owners notice who takes a rejection well.

Where to find Minecraft servers that need staff

Most servers post openings in their own Discord. New servers often need staff the most; look through our new servers list and our guide to small servers, then join and play before applying. Owners can also post roles on the hiring board in the 9MinecraftServer Discord.

Quick questions

How many staff does a Minecraft server need?

Enough that someone is online during your busiest hours. A small SMP might run on the owner and two helpers; the key is coverage across timezones, not a big number.

Should staff be paid?

Most community servers use volunteers. If you pay staff, pay them properly and follow your local employment and tax rules. Never pay them in store items.

Can a 13-year-old be server staff?

They can be a great Helper on a server with an adult team. We'd keep report handling, private messages and bans with adult staff.

What should a staff guide include?

The rules with examples, the punishment ladder, how to record evidence, which commands each rank uses, and who to escalate to. One or two pages is enough.
